Package General Policies

1. Universal hotel check-in time is between 14:00 – 15:00 and check-out time is between 11:00 – 12:00 depending upon the property. Early check-in & Late check-out is subject to availability of room, it depends on the hotel. Early Check-in and late check-out will be at additional cost and subject to availability and complete discretion of the hotel. Hotel may or may not provide early check-in or late check-out irrespective of availability. ElixirTrips Pvt. Ltd will not be responsible for any change in the policy of the hotel at any given time.
2. We can only facilitate the visa application for the traveling passengers. Granting of visa is solely at the discretion of Embassy. If visa is rejected or delayed by the Embassy for any reason, then we are not liable to give any refund and respective cancellation policies will apply.
3. ElixirTrips reserves the right to modify the itinerary at any point, due to reasons including but not limited to: Force Majeure events, natural calamities, strikes, fairs, festivals, weather conditions, traffic problems, overbooking of hotels/flights, cancellation/re-routing of flights, closure of/entry restrictions at a place of visit, etc. While we will do our best to make suitable alternate arrangements, we would not be held liable for any refunds/compensation claims arising out of this.
4. Any flight cancellation/rescheduling/departure delay or any changes in flights is purely subject to airline management decisions. Any charges in airfare increase/decrease/rescheduling is to be borne by the client as ElixirTrips do not hold any guarantee on the same.
5. In case a flight gets canceled, ElixirTrips will not be liable to provide any alternate flights within the same cost, any additional cost incurred for the same shall be borne by the traveler.
6. Grant of On Arrival Visa depends on the sole discretion of Immigration Authority, and ElixirTrips is not responsible for any non-grant of Visa to traveler. In case the immigration does not provide Visa On Arrival for any reason, the Cancellation policy of ElixirTrips Pvt. Ltd. will stand as it is.
7. We are holiday organizers only. We inspect and select the services to be provided to you. However, we do not own, operate or control any airline, shipping company, coach or coach company, hotel, transport, restaurant, kitchen caravan or any other facility or provider, etc. that is engaged to provide you services during the course of your tour. Therefore, please carefully note that:
8. You will need to adhere to the conditions, rules, and regulations of each service provider. For instance, you will need to check the baggage rules of the airline, you will need to check the hotel rules to check what the mealtimes are, at which you should make yourself available. The company is not responsible/liable for the consequences if you breach such rules and regulations.
9. We will strongly recommend all the passengers to check the flight schedule prior to the departure of the flight, even if the tickets are issued by ElixirTrips. Customer must call the airline directly a day before and on the day of departure and cross-check all timings. ElixirTrips will not be responsible in case the customer misses his flight due to a change of time. In such cases, the customer will bear complete loss of flight and package.
10. It is important to note that the lead passenger in the name of the booking has to be present at the hotel while checking in. In case the lead passenger is not able to travel, he must give signed the Authority letter along with a copy of his passport for the hotel to provide check-in to the rest of the family members.
11. After confirmation of services, if anyone wishes to change your travel arrangements in any way, for example, your chosen departure date or accommodation, we will do our utmost to make these changes but it may not always be possible. Any request for changes to be made must be in writing from the person who made the booking. The cost incurred due to amendment will be borne by yourself.
12. We strongly recommend customers purchase travel insurance that covers the risks associated with traveling to a foreign country such as emergency medical assistance and hospitalization as well as cancellations coverage and lost baggage. Consult your travel expert for a plan best suited to your needs.
13. During the period of traveling, any loss or damage to the customer, shall be the sole responsibility of the customer himself in case the insurance is not done. If the insurance is done, then, the insurance company is solely responsible for any such loss. ElixirTrips Pvt Ltd shall not be responsible for any loss or damage caused to the customer while traveling even if ElixirTrips has been instrumental in providing insurance to the customer through the insurance company.
14. All tour packages are subject to various charges, such as destination hotel taxes and service charges, port taxes on cruises, local government taxes, handling charges as well as on packages inclusive of an airfare, airport taxes, security fees, and departure tax. All such charges, as known at the time of booking, are not included in the package price. Such charges are subject to change without any prior notice. However, the charges (if any), as of the time of booking, will be informed to the customer.

Payment Policy

1. Reservation amount has to be paid upfront for us to start confirming your package.
2. Full flight amount (if flights included) and any non-refundable hotel amount has to be paid upfront for reservation.
3. Balance payment (if any) needs to be completed 21 days prior to travel.
4. For travel in less than 21 days from booking, complete payment must be received within 24 hours of booking.
5. You can pay using credit cards, debit cards, net banking, PayPal, NEFT, IMPS, RTGS, SWIFT, or deposit cash Rs 1,99,000/- in adherence to Income Tax ACT.
6. We charge non-refundable financing fees for overdue amounts:
7. Financing charges: 1% per day of the pending amount, compounding per day
8. Processing charges for financing: 5% per week of the pending amount or INR 10,000 per week, whichever is lower from the 2nd week.
9. We reserve the right to cancel your trip without any prior notice after the due date. Any cancellation costs will be borne by you.
10. If the above-mentioned payment terms are not followed, we will not be held responsible for any change made in the package itinerary due to non-availability of flights, hotels, ferries, etc.
11. There might be an increase in total package cost offered at the time of booking in case the payments are not received by us as per the terms mentioned and the extra cost needs to be borne by the guest.

Airline Cancellation Policy:

1. If flights are non-refundable, in the event of cancellation, you will not get any refund for flights.
2. If the airline offers rescheduling, rescheduling charges (if any) to be borne by the customer.

Hotel Cancellation Policy:

1. Date of booking to 31 days before travel – cancellation charges will be 50% of the tour cost.
2. 30 to 16 days before travel – cancellation charges will be 75% of the tour cost.
3. 15 to 0 days before travel – cancellation charges will be 100% of the tour cost. No refund shall be given.
4. Please Note: Cancellation policy is subject to change. It depends on the hotel policy.
5. In peak season (example: long weekends, festival season, summer vacation etc.) most of the hotels charge 100% cancellation.

Land Services Cancellation Policy:

1. Date of booking to 31 days before travel the cancellation charges will be 50% of the tour cost.
2. 30 to 16 days before travel – cancellation charges will be 75% of the tour cost.
3. 15 to 0 days before travel – cancellation charges will be 100% of the tour cost. No refund shall be given.
4. Please Note: Cancellation policy is subject to change. It depends on the service provider’s policy.
5. In peak season (example: long weekends, festival season, summer vacation etc.) most of the service providers charge 100% cancellation.

General Terms & Conditions:

1. Private Transfers don’t imply that the Vehicle is on Disposal. The vehicle will only pick you up and drop you at the attraction at specified timings.
2. Seat-in-coach transfers imply that transfers will be in a shared bus that will have other co-passengers. There may also be waiting involved during pickups and drops as the bus goes around picking other passengers.
3. If your flights involve a combination of different airlines, you may have to collect your luggage on arrival at the connecting hub and register it again while checking in for the return journey to your origin.
4. For queries regarding cancellations and refunds, please refer to our Cancellation Policy.
5. Disputes, if any, shall be subject to the exclusive jurisdiction of the courts in Bangalore.
6. We reserve the right to issue a full refund in case we believe that we are unable to fulfill the services for any technical reasons.
7. Airline seats and hotel rooms are subject to availability at the time of confirmation.
8. In case of unavailability in the listed hotels, an arrangement for alternate accommodation will be made in a hotel of similar standard.
9. Package price does not include Gala dinner charges applicable on New Year’s Eve and Christmas in hotels.
10. There will be no refund for unused nights or early check-out (In case of Medical condition it completely depends on hotel policy).
11. Check-in and check-out times at hotels would be as per hotel policies. Early check-in or late check-out is subject to availability and may be chargeable by the hotel.
12. The price does not include expenses of personal nature, such as laundry, telephone calls, room service, alcoholic beverages, mini bar charges, tips, portage, camera fees, etc.
13. If you cause any injury or damage affecting the service provider, then you may be liable to the service provider and if the service provider recovers any monies from us for such injury or damages, we shall separately charge you for the same.
14. We cannot be held responsible/liable for any delay, deficiency, injury, death, loss, or damage, etc. occasioned due to the act or default of such service providers, their employees, or agents.
15. Reservation amount has to be paid upfront for us to start confirming your package. Package is confirmed only once the initial amount is credited to our bank, it takes 4 hours to make the reservation once the amount is credited.
16. Company will not be responsible for any change in fares or services as flights, hotel, and land services are dynamic & subject to availability.
17. Full flight amount (if flights included) and any non-refundable hotel amount has to be paid upfront for confirming the package.
18. If the above-mentioned payment terms are not followed, we will not be held responsible for any change made in the package itinerary due to non-availability of flights, Hotels, Ferry, etc.
19. There might be an increase in the total package cost offered at the time of booking in case the payments are not received by us as per the terms mentioned and the extra cost needs to be borne by the guest.
20. The STAR (*) rating of the mentioned hotel is based on reputed site ‘TripAdvisor’ or hotel website itself. For any deviation on expectations upon check-in, ElixirTrips will not be responsible. We request all guests to check the TripAdvisor link or hotel website before confirming the package.
21. The rates are valid for Indian nationals residing in India only.
22. The penalty for name change and date change will incur as per the airline and the destination. If there is any additional airport/Airline taxes charged by any airport/Airline at any destination, the customer shall bear the same. ElixirTrips shall not be liable for the same.
23. ElixirTrips reserves the right, in its sole discretion, to terminate the access to any or all ElixirTrips websites or its other sales channels and the related services or any portion thereof at any time, without notice, for general maintenance or any reason whatsoever.
24. ElixirTrips advises the appropriate time to apply for the visa as per the embassy norms. The visa will be sent for application after receiving the visa documents. Shall there be any delay in receiving the documents/inappropriate documents or in granting the visa from the embassy, ElixirTrips will not be liable for the same.
25. Any Fluctuation or change in the Rate of exchange for the foreign exchange component will be borne by the client & Rate of exchange calculated @ 1 USD = INR 75.00 (Total Package cost will be recalculated on the final day of payment @ final payment day’s rate of exchange. (xe.com website currency conversion rate plus INR 1.00 is taken into consideration for rate of exchange calculation).
26. The rates are subject to availability of airfare, accommodation, class of booking on the airline, and sightseeing tours at the time of booking. Any price increment in the mentioned things will be borne by the customer.
27. In case if the passenger is No Show/offloaded by the Airline for any reasons, the booking shall be considered as no show and no refund shall be made against any of the services booked through ElixirTrips.
28. If due to delay or cancellation of a flight, if the sightseeing(s)/services are missed, the same service will be considered as unutilized service and no refund shall be made for the same.
29. If due to delay or cancellation of a flight, you do not appear in the hotel/transfers at the specified time, ElixirTrips will not be responsible for the same. The same shall be treated as no show.
30. We strongly suggest our customers carry a hard copy of complete Vouchers provided by ElixirTrips to present the hotel and avail of the through the booking reference number. In case you do not present the vouchers at the hotel while checking in, the Hotel can deny your booking and may not allow you to check in the hotel. In such situations, ElixirTrips will not be responsible for the same.
31. All the sightseeing tours and excursions are organized by local companies in various destinations. The timings and days of operation are subject to alteration. Changes, if any, will be informed accordingly.
32. ElixirTrips Pvt Ltd. reserves the right to use an alternate accommodation or airfare of an equal or higher standard. The same shall be determined based on the reviews and ratings of the hotel placed on the internet.
33. Hotel star category is as per internet standardization and ElixirTrips is not liable for the same.
34. Seat-in-coach transfers are on fixed timings (Please report at the meeting point at least 15 mins prior to the pick-up time). ElixirTrips Pvt. Ltd will not be responsible for any delay from the customer’s end.
35. No refunds either in part or in full will be made for any unutilized service.
36. Prices are subject to change without prior notice as per the Airline/hotel.
37. Final handover of Hotel vouchers/Air tickets/Visa, etc. will be done before three days of your trip and subject to full payment.
38. ElixirTrips Pvt. Ltd does not guarantee the quality of service of the hotel and star rating of the hotel. We only recommend hotels based on their reviews and ratings placed on the internet by the customers and our previous customer experience. Once a hotel is booked, the booking can be changed based on the cancelation policy of the hotel as well as ElixirTrips. We strongly recommend our customers go through reviews and photographs of the hotels before making a booking.
39. In case of any payment made on the online link through the Net Banking, credit, or debit cards there will be a transaction charge of 3% of the total booking amount. In case of American Express Card, the charges will be 6%. This amount is completely non-refundable in case of ANY/ALL cancellations, refunds, etc. at any given point of time. These payment gateway charges will be deducted from the refund amount unless there is a waiver commitment from ElixirTrips in writing. We strongly recommend all our customers take all the details in writing through our official id.
40. The airfares and taxes are calculated as of a mentioned date and time and any increase in the taxes or airfares will be borne by the client.
41. Kindly avoid being over-drunk by intake of hard drinks during the flights to avoid any inconvenience during Visa on Arrival, Immigration, and Custom Process.
42. Passport copies are mandatory to send at the time of confirming the Booking & passport should be valid for a minimum of 6 months from the date of departure from the destination.
43. You, or any member of your party, may cancel their travel arrangements at any time. Written notification or an e-mail to that effect from the person who made the booking must be received at our offices. The applicable cancellation charges should be borne by the passenger.
44. Please note that in most of the hotels worldwide compulsory Gala Dinner Surcharge is applicable on 25th December (Christmas Day) /31st December (New Year’s Eve), which is directly payable by the client to the hotel.
45. In some of the international destinations, sightseeing tours may not be operational on 25th December (Christmas Day) /31st December (New Year’s Eve) due to heavy congestion on roads.
46. Regarding the visa processing, every country’s High Commission/Consulate in India has a specific number of working days required for visa approval, if you are confirming your booking at the last minute and we do not have sufficient number of working days in hand to get the visa approval before the travel date then ElixirTrips will not be responsible in that case and all expenses/cancelation for flight and land package booking will be borne by the client.
47. Payment & Pricing:
48. The price of your holiday has been quoted in both USD and INR. Since these prices are subject to currency fluctuations – the higher of the two will be charged at the time of completion payment for your booking.
49. We urge our esteemed customers to make the complete payment at the time of booking to avoid any charges arising out of fluctuations.
50. In case of part payments, reserves all rights to charge the higher value applicable as per the quote, till the time final payment does comes in.
51. We reserve the right to cancel your booking in case full and final payment is not made at the time of booking and later USD rate fluctuates. To avoid such situations, please make full and final payment at the time of booking.
52. Payment by Credit Cards:
53. Your verbal authorization, given to your Travel Agent, for the use of your credit card indicates your compliance with our booking conditions and confirms your reservation whether or not you have actually signed the appropriate authorization form. In the case where the traveler pays with a third person credit card, written proof of consent must be provided. Once a credit card has been forwarded to ElixirTrips to guarantee a reservation, the travel agent becomes responsible for payment and must keep a signed copy of the customer’s authorization on file. In the event that a cardholder refuses to honor a charge due to the absence of a signature, the Travel Agent will be held responsible for full payment of the services.
54. As per RBI Guidelines, for any international booking being made, will need a copy of the passport of all the passengers traveling to the destination.
55. Travel Insurance:
56. In the event of any dispute, the dispute shall be referred to the sole arbitrator to be appointed by ElixirTrips Pvt Ltd in Delhi and the matter shall be subjected to the jurisdiction of Delhi Courts only.
57. All our packages are based on Night basis and the last day is for check-out which will be as per the hotel policy. ElixirTrips will not be responsible for any extension of stay in the hotel unless explicitly approved in writing by ElixirTrips.
58. Please also note that the terms and conditions stated in this e-mail, are final and binding. This e-mail surpasses any discussion/assurance that may have been given by our representative in any of the previous communications via phone or another e-mail. In case of any details or clarity, please feel free to get in touch with the undersigned or reply back on this email. Please send us a go-ahead in reply to this mail for us to process your booking within 24 hours. In case we do not receive any reply to this mail, it will be treated as implied consent.
59. Please note that we are not holding any reservation, rates are subject to availability at the time of booking and may change any moment without prior notice.

Destination Charges:

1. Dubai: Dubai Tourism Dirham fees to be paid directly to the hotel (subject to change on basis of local regulations).
2. Thailand: National Park fees to be paid for entrance in Phi Phi Island (400 THB).
3. Malaysia: Tourism Tax of 10 RM per room per night to be paid at the hotel.
